The Inventory Control Coordinator provides financial and analytical oversight of all inventory transactions and reconciliations within the organization.

This role ensures that physical inventory activity is accurately reflected in financial systems, supporting the integrity of cost accounting, audits, and overall company profitability, working closely with Operations, Buyers, and the Finance team.

The coordinator leads a team focused on maintaining data accuracy in WMS and ERP, resolving discrepancies, and supporting both operational and accounting functions.

Responsibilities

Responsibilities:

  • Direct and support the work of the inventory control team, setting performance expectations and ensuring compliance with accounting and audit standards.
  • Develop and enforce SOPs for reconciliation, valuation, and inventory adjustment processes.
  • Review and approve system adjustments and financial corrections prior to posting.
  • Provide training and guidance on inventory controls, data accuracy, and audit preparedness.
  • Oversee reconciliation between warehouse data and general ledger accounts.
  • Validate system transactions, including receipts, transfers, and adjustments.
  • Analyze trends in shrink, spoilage, and cost variances; prepare monthly reconciliation reports for leadership.
  • Ensure consistent reporting, alignment, and audit compliance.
  • Coordinate documentation and analysis for internal and external audits.
  • Serve as the primary liaison between Accounting, Operations, Buyers, and IT to ensure accuracy of financial data.
  • Collaborate with Warehouse Supervisors to maintain data integrity between WMS, Sales System, and ERP systems.
  • Provide financial insights to support leadership decisions on procurement, cost reduction, and margin management.
  • Coordinate analysis of product donations, salvage, and write-offs to ensure accurate cost recovery.
  • Ensure compliance with FSMA, SQF, and company financial control requirements.
  • Identify areas for process improvement in reconciliation and audit documentation.
  • Maintain audit-ready documentation for all inventory transactions.
  • Support Finance leadership in designing metrics and dashboards for valuation accuracy.

 

Qualifications

Qualifications

  • Bachelor’s degree in accounting, Finance, or Business Administration, or equivalent experience.
  • 3–5 years of experience in inventory accounting or cost reconciliation.
  • Strong understanding of financial controls, inventory valuation, and audit requirements.
  • Advanced Excel skills and familiarity with ERP/WMS systems.
  • Excellent analytical and cross-departmental communication skills.
